Refund Policy

At BookFlow AI, we want you to be completely satisfied with our service. This Refund Policy outlines the terms under which refunds may be issued for our subscription plans.

1. Free Trial

Every new BookFlow AI account includes a 14-day free trial with no credit card required. The trial gives you full access to the platform so you can evaluate whether BookFlow AI is right for your business before committing to a paid plan.

Since the trial is completely free, no refund is applicable for the trial period. If you decide not to continue, simply do not subscribe — your account will be paused automatically.

2. Subscription Cancellation

You may cancel your subscription at any time through your Dashboard → Billing page, or by contacting our support team.

  • Cancellation takes effect at the end of your current billing cycle. You will continue to have full access until then.
  • No partial refunds are issued for unused days within a billing cycle.
  • Unused AI minutes from the current cycle are not refundable.

3. Refund Eligibility

We offer refunds under the following circumstances:

First Payment Refund (30-Day Guarantee)

If you are a new subscriber and are dissatisfied with the Service within the first 30 days after your first payment, you may request a full refund. This applies to your first billing cycle only.

Service Outage or Critical Failure

If BookFlow AI experiences a prolonged service outage (exceeding 48 consecutive hours) or a critical failure that prevents you from using core features (AI calling, calendar booking), you may be eligible for a pro-rata credit or refund for the affected period.

Duplicate or Erroneous Charges

If you were charged twice for the same billing period or an incorrect amount was billed, we will refund the duplicate or excess charge promptly upon verification.

4. Non-Refundable Items

The following are not eligible for refunds:

  • Overage charges — additional AI minutes consumed beyond your plan's allocation are billed based on actual usage and are non-refundable.
  • Partial billing cycles — if you cancel mid-cycle, the remaining days are not refunded (access continues until cycle end).
  • Account termination for policy violations — if your account is terminated for violating our Terms of Service, no refund will be issued.
  • Renewals after the first cycle — the 30-day guarantee applies to the first billing cycle only. Subsequent renewals are non-refundable.

5. How to Request a Refund

To request a refund, please follow these steps:

  1. Send an email to hello@bookflow.ai with the subject line "Refund Request".
  2. Include your account email, the billing date in question, and the reason for your request.
  3. Our team will review your request and respond within 3 business days.
  4. If approved, the refund will be processed to your original payment method via Paddle within 5–10 business days.

6. Plan Downgrades

If you downgrade from a higher-tier plan (e.g., Scale to Growth), the change takes effect at the start of your next billing cycle. You will retain access to your current plan's features until then. No refund or pro-rata credit is issued for the difference in plan pricing within the current cycle.

7. Chargebacks & Disputes

We encourage you to contact us directly before filing a chargeback with your bank or credit card provider. Chargebacks incur fees that increase costs for everyone. If you have a billing concern, we are committed to resolving it fairly and promptly.

Filing a chargeback without first attempting to resolve the issue with us may result in account suspension pending investigation.

8. Changes to This Policy

We reserve the right to update this Refund Policy at any time. Changes will be posted on this page with a revised "Last updated" date. Material changes will be communicated via email to active subscribers.
