Troubleshooting common BookFlow AI issues

Quick fixes for the most common issues: calls not dialing, calendar not syncing, trial counter stuck, dashboard showing stale data.

"My AI agent is not making calls"

The most common cause is that one of the three preconditions is not met. Check each one in order:

1. **Onboarding complete?** Go to **Dashboard**. If you see a welcome card asking you to connect a lead source, your agent is ready but has no leads. That is step 2 below. If you are redirected to **/onboarding**, you have not finished Build Your Agent yet — complete every step. 2. **Lead source connected?** Go to **Dashboard → Integrations**. At least one of Google Sheets, Facebook Leads, GoHighLevel, or Apollo should be connected. If none are connected, the agent has nothing to call. 3. **Trial or plan active?** Go to **Dashboard → Billing**. If you see "Trial expired" or a red banner at the top of the dashboard, calls are blocked until you upgrade.

If all three are green and the agent still is not dialing, open the support widget and include your account email plus the exact lead you expected to be called.

"Google Calendar is not syncing booked meetings"

Check in this order:

1. **Reconnect the calendar.** Go to **Dashboard → Integrations → Google Calendar** and click Disconnect, then Connect again. OAuth tokens occasionally expire and need to be refreshed manually. 2. **Check the right Google account.** BookFlow writes to whichever Google account you connected. If you connected a personal account but expected a business account, reconnect the correct one. 3. **Look at the primary calendar.** BookFlow writes to the **primary** calendar on the connected account, not secondary calendars. If your team uses a shared secondary calendar, contact support. 4. **Verify the event really should exist.** Go to **Dashboard → Leads**, find the lead, and check that the status is **Booked**. If it is **Callback** or **No answer**, no meeting was created on purpose.

"The trial minute counter looks wrong"

The trial counter refreshes every 60 seconds on the dashboard. If you just made a call and the counter has not updated:

  • Wait one minute and refresh the page.
  • If it is still wrong, the call may have ended in a state that did not count (hangup before connection, voicemail detected, or network error). Those do not consume minutes.

"I cannot log in"

If login is failing:

  • **Forgot password?** Use /forgot-password to receive a reset link.
  • **"Email not confirmed" error?** Check your inbox for the confirmation email from BookFlow. If it is not there, open the support widget and we will manually confirm you.
  • **Google sign-in loop?** Clear cookies for the BookFlow domain and try again. The loop is usually caused by a stale OAuth state.

"The dashboard shows old data"

The dashboard fetches fresh data every time you navigate to it, with a 30-second cache on background queries. If the numbers look wrong:

  • Hard refresh the page (**Ctrl+Shift+R** on Windows, **Cmd+Shift+R** on Mac).
  • Wait 60 seconds — real-time data can lag slightly behind the voice pipeline.
  • Check the connection: if you see a WebSocket disconnected warning in the browser console, refresh once.

"My support widget message did not send"

Three possibilities:

  • Your message was sent but the reply got filtered — check your spam folder.
  • Our email system is temporarily down — email support@bookflow.ai directly as a fallback.
  • You are offline or on a restrictive network — try from a different network.
