How BookFlow AI billing works

A plain-English guide to BookFlow AI pricing: plans, included minutes, overage, billing cycles, and how to change or cancel your plan.

The three plans

BookFlow AI offers three self-serve monthly plans: **Starter ($129/mo)**, **Growth ($299/mo)**, and **Scale ($799/mo)**. Each plan bundles:

  • A monthly pool of included AI voice minutes
  • A per-minute overage rate for usage beyond the pool
  • A **hard monthly cap** so you cannot be surprised by a four-digit bill
  • Rollover of unused paid minutes for one month

The bill cap — why it exists

Most AI voice vendors hide overage behind fine print, then charge thousands in a big month. BookFlow publishes a **per-plan maximum monthly cost** up front and caps billing at that number regardless of how many minutes you use. You can forecast the worst case with one glance.

Included minutes vs overage

Each month, the first N minutes are "included" in your plan fee. Beyond N, you pay the per-minute overage rate (typically 30–50% cheaper than your plan's per-minute average) up until the monthly cap. After the cap, additional minutes are effectively free for that month.

Example on the Growth plan:

  • Plan: $299/mo, 600 included minutes, $0.40/min overage, capped at $599/mo total.
  • You use 800 minutes → $299 base + 200 × $0.40 = $379 for the month.
  • You use 2,000 minutes → you hit the $599 cap well before using them all, so you pay **$599** regardless of further use that month.

Billing cycle

BookFlow AI bills monthly on the date you first upgraded. If you upgraded on April 3, you will be invoiced on the 3rd of every month after that. You can change this by canceling and re-upgrading on a different date.

Payment processor

All payments are processed by **Paddle**, not BookFlow directly. Paddle acts as merchant of record, which means they collect and remit US state sales tax automatically, handle invoicing with full VAT compliance for international customers, and send you monthly PDF invoices by email.

Changing your plan

Go to **Dashboard → Billing** and click **Open invoices in Paddle**. From the Paddle portal you can:

  • Upgrade or downgrade between Starter, Growth, and Scale
  • Update your card
  • Download past invoices
  • View your full payment history
  • Cancel the subscription

Plan changes take effect **immediately**. Upgrades are prorated for the remainder of the current billing cycle. Downgrades apply at the end of the cycle.

Canceling

Cancellations go through Paddle. Your BookFlow AI account stays accessible in read-only mode after cancellation — we do not delete your data. You can re-activate at any time by upgrading again, and your agent configuration, leads, calls, and recordings will all be waiting.

Refunds

BookFlow AI offers a **14-day money-back guarantee** on your first paid month. After that, all sales are final. To request a refund during the guarantee window, open the support widget or email support@bookflow.ai.

FAQ

**Can I pay annually for a discount?** Yes — email support and we will set up an annual invoice with a 10% discount. Not yet available self-serve.

**What currency is billing in?** US dollars. Paddle handles currency conversion for international customers at checkout.

**Do you have an enterprise plan?** If you need more than 4,000 included minutes per month, dedicated support, custom SLAs, or a signed DPA, email support@bookflow.ai and we will build a quote.
